VA publishes an eight-stage process for disability claims: claim received, initial review, evidence gathering, evidence review, rating, preparing a decision letter, final review, and claim decided. Read the official VA claim-process page for the current stage descriptions. VA also explains that a claim can return to evidence gathering when more information is needed. Those labels are useful reference points, but they do not cover every claim, decision review, or appeal.
The VA claim, decision review, or appeal status page is the place to check the status available for your account. This organizer is a personal copy of what you saw. It does not look up VA records, sync with VA, or confirm that a status is correct.
Record the words you actually see
- Copy the status: choose the matching label only when it matches the wording you saw. If it does not match, select “Other — see my notes” and write the exact wording in Notes from your notice or status page.
- Write the check date: use the exact date you looked. Leave it blank when you do not know it.
- Save the notice action: record what a letter asks you to do in your own words. Keep the original notice where you can review it.
- Keep your task separate: a personal follow-up date is one you choose for your own organization. The tool does not calculate a response date, legal deadline, or automatic reminder.
Use exact and approximate dates honestly
Enter a date only when the date is printed on the notice or you know the date you checked. Put an approximate month, season, or period in a text note and label it as approximate. Do not turn a memory into an exact date just to fill a box.
Organize the next conversation
Use the appointments field for scheduling questions and the evidence field for document titles or places where you keep originals. Do not upload medical records, Social Security numbers, or claim numbers here. For an exam, read VA’s C&P exam guidance and follow the appointment notice. A claim exam is for gathering information for a claim decision and is not a treatment visit.

Review before relying on your notes
Compare your notes with the actual notice and the official status page. If your question concerns an individual filing, appeal, representation issue, or notice instruction, use the contact information on your notice or find a VA-accredited representative.
